Description

The Luxembourg Trade and Investment Office in Tokyo is looking for an assistant who will support the Luxembourg’s economic promotion activities related to the Osaka Expo 2025.  The job requires professional experiences/skills in business, excellent time management capabilities, event organizational skills and flexibility.  Fluency in both English and Japanese is a must.  The working place will be in Tokyo at the Embassy of Luxembourg to Japan, but the assistant should occasionally travel to Osaka when needed.

The successful candidate will be offered a gross salary above 360.000 JPY, depending the experiences, with a generous paid holiday package, enrollment in “Koseinenkin” Pension and health insurance.  Other detailed conditions to be presented and discussed during the course of selection.

The working hours are 8 hours a day, 5 days a week.  The office is open Monday-Friday usually but the job may require working overtime when high-level delegations visit Japan during the Expo.

The contract will start in October 2024 and will be terminated at the end of 2025.

About Luxembourg Trade and Investment Office – Tokyo

The Luxembourg Trade and Investment Office – Tokyo is an economic promotion body affiliated to the Ministry of Foreign and European Affairs, Defence, Development Cooperation and Foreign Trade of Luxembourg.  It is a small office of 4 persons, integrated in the Embassy of Luxembourg in Tokyo, who aims at enhancing the bilateral economic exchange between Luxembourg and Japan.  Its main activities are the attraction of Japanese companies’ direct investment into Luxembourg as well as the support to Luxembourg companies who try to develop their businesses in Japan.  By working here, the staff members can obtain working experiences to support cross-border trade and investment projects in various sectors, through interaction with companies/institutions from Luxembourg and Japan.

Roles and responsibilities

Assist the Executive Director or the assigned staff member and engage in administrative works;
Interact with companies and economic organizations both in Luxembourg and in Japan;

Disseminate information related to trade and investment promotion, including the ones provided by institutions, bodies and companies of Luxembourg via the Office’s website and social media account;
Make translations;

Prepare logistics for the government and business delegations visiting Japan during and around the Expo, including transportation, accommodation, and so forth;

Support organizing trade and investment related events such as trade missions, investment seminar, Japanese investor’s visits to Luxembourg, etc.

Support companies form Luxembourg who aims at developing businesses in Japan;

Perform other occasional official tasks assigned by the Executive Director.

Essential qualifications

Higher education of university type or similar education;
Language skills: fluency in Japanese and English (reading, writing and speaking).  Knowledge of French and/or German is a plus.
Computer skills (MS Office software package, Social Media management tools);
Knowledge of rules of clerical work, document management and record-keeping, drafting documents for public administrations;
Team working ability and interpersonal skills;
Leaving no doubt as to the person’s credibility.
